What This Notice Covers

Personal information collected through polosandgilets.com. It does not cover recording a guest, which is governed by the release each guest signs, nor anything held by sites we link to.

What We Collect

Nothing is stored on the website itself. What you send through either form is emailed to us and held in our mailbox.

This site uses no analytics, advertising trackers, embedded media, social media widgets or third-party scripts.

Cookies

This website sets no cookies and uses no similar storage, so there is nothing to consent to and no banner to dismiss.

Why We Use It, And Our Lawful Basis

Guest enquiries are used to read your message, reply, and have whatever conversation follows. The lawful basis is legitimate interests: we need to be able to reply to people who contact us about appearing, which is also why you wrote. You started the contact, we use only what you chose to give, and you can ask us to delete it at any time.

The mailing list is used to tell you when the first episodes are published, and from time to time after that when there is something worth knowing about the show. The lawful basis is your consent, given when you send the form. You can withdraw it at any time by replying to any of those emails or by emailing us, and we will delete your address.

Server logs are handled under legitimate interests, keeping the site available and secure.

We do not sell, rent or share your information with anyone for their own purposes, we do not pass it to any sponsor, and we make no automated decisions about you.

Who Else Is Involved

A small number of service providers run the website and our email, on our instructions and for no other purpose.

Where Your Information Is Held

What you send is stored in our Microsoft 365 mailbox. Microsoft holds our mail in the United Kingdom.

The website is hosted by Fasthosts, in United Kingdom data centres.

The one exception is delivery. What you type into a form is passed to us by Resend, our email delivery provider, which is based in the United States, so that step involves a transfer outside the UK. It is covered by the safeguards UK data protection law requires for international transfers, such as approved contractual terms. Once delivered, your message sits in our United Kingdom mailbox and stays there.

How Long We Keep It

Guest enquiries are kept for 365 days and then deleted, unless you go on to appear, in which case the release you sign governs what is kept.

The mailing list keeps your address until you ask to come off it, and then it is deleted.

Server logs are kept for as long as the hosting provider retains them as part of ordinary operation.

Your Rights

Under UK data protection law you can ask us for any of the following, free of charge, and we will respond within one month.

Email hello@polosandgilets.com. We may ask you to confirm who you are first, so that we do not hand your information to someone else.

Complaints

If you are unhappy with how your information has been handled, please tell us first and we will try to put it right. You can also complain to the Information Commissioner's Office ('ICO'), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes To This Notice

If how we handle personal information changes, this page is updated and the effective date changes. Material changes are described here rather than made quietly.
